In the past, the challenges of managing structured and unstructured data result in rapid database growth and uncontrolled storage needs. It provides transparent access to all business information, when and where it is needed. Note: if the customer buys SAP DA, they also get Archiving, because Archiving is part of the DA product. Simple, role-based format: SAP DA can be configured to a role-based format. Depending on your user role, only the information you need is displayed. It reduces the complexity of the GUI, which appeals to legacy users. This improves the user experience and user adoption issues. This is a transparent, cross-modular view that can be configured to each user, and is an easy extension to the SAP user interface. With this solution, you can group and organize all of those associated processes in one hierarchical view, as shown by this small picture. Orange arrow on left: indicates the standard archiving functionality. Blue arrow on the left: represents the functionality with SAP DA. You extend the functionality and get additional value with a module and system spanning view.

Cross-Application view: This is an example of the cross application that you can enable with SAP DA. On the left, point to the hierarchy view, on the first set of folders. Highlight this with the pointer. In this folder, you see that there is a pdf, word doc, , etc., giving a full 360 degree view of a transaction or process. This is different than CRM, different than the document relationship browser view. This feature is good because the data can come from separate systems. Data can be collected and put into one folder, regardless of its source. With a mouse click, a user can directly open a document or jump to the transaction. Security authorizations: SAP DA fully utilizes the SAP security authorizations module, eliminating a redundant functionality. There is only one security profile to maintain, and only one login is required. Role-based security: If a user is not authorized to see or access certain functions and transactions, those functions and transactions would not appear, and the grouping or folders wouldn’t appear.

SAP DA supports both the SAP client view and the NetWeaver portal view. Customers can choose how they deploy their view, depending on the user roles and corporate standards. The same functionality for the SAP GUI is offered through the NetWeaver portal.

With SAP DA, we provide a cost-effective way to retire those systems and accelerate the migration of data into SAP, offering lower costs and improved operational efficiencies. Most people keep legacy reference data for reference purposes. SAP DA is one way of keeping the information available but keeping it in low cost storage, while managing it with SAP. The COLD module automatically extracts from the legacy content the index information necessary to retrieve the content later on via SAP DA. Business flow of diagram: 1) legacy data, then 2) content is extracted and organized. Metadata is extracted. 3) Indices are created within SAP database tables. The content itself is stored on the Archive Server. 4) Document Access runs inside of SAP. 5) Access methods and organization methods are now available in the SAP portal/GUI. Any associated content is now accessible by archive link or other access methods. The content is stored in a secure, unalterable format, so that the legacy application can be retired. Benefit: hardware and software is freed up for other things. Maintenance and labor is also freed up.

SAP Archiving supports ADK archiving, printlist, and outbound documents, as well as any associated or linked content, and supports retrieval using all SAP access methods to offline data.

The diagram shows what the customer achieved and experienced by using this product. The dotted top line is what would have happened if they hadn't invested in archiving. Bottom line is what they achieved by implementing it. The blue bars show implementation phases. Depending on your SAP deployment, there are rolling waves of data archiving. Go for the low hanging fruit first. Each flattening of the blue line represents the go-live of an SAP data archiving project. TCO of managed storage: Only 30% of storage cost is hardware, while the rest of cost is labor. Being able to reduce these costs is critical.

This exemplifies the potential of SAP DA for more process efficiency. 1) Very often documents trigger a process, for example an incoming invoice. We have unstructured content, such as hardcopy mail, faxes, & correspondence. We need to associate those with a transaction. A knowledge worker has to refer back to that unstructured content so there is a complete record chain to support the business transaction. SAP Archiving also includes a scanning solution. SAP Archiving supports any industry-standard scanner (ISIS standard scanner, personal desktop scanners, etc.). When the document is scanned in, it automatically triggers an SAP workflow. This does not require SAP workflow projects. An SAP consultant only needs to customize the SAP one-step workflow for the corresponding document type (less than an hour task). The content is now stored into a secure archive in an unalterable format. The format can be whatever the user wants. The type of storage doesn’t matter. SAP Archiving supports all major storage vendors and mixture of storage types, such as optical storage, content-addressed storage (e.g., EMC Centera), storage area networks, etc. Customers can select storage media depending on legal retention requirements and cost. If something is temporary (e.g., three days) SAP Archiving enables you to select your storage media depending on the record and long-term retention needs. 2) SAP Archiving improves process efficiency by providing immediate access to the documents linked to the transaction. Workers can refer to attached documents anytime, anywhere, also in a distributed environments or in shared service centers. 3) Business processes can result in outgoing documents, for example delivery notes or outgoing invoices are generated. These are archived automatically without further user interaction on the Archive Server and are attached to the transaction for further retrieval. Also, print lists can be archived and used to document the business (general ledger, etc.).
